Experienced GoHighLevel Automator (Zapier and Beyond!)

We’re looking for an Automation Specialist to build, maintain, and improve the automations that power our marketing systems and those of our Members. You’ll work primarily inside our HQ platform, along with tools like Zapier to keep everything running smoothly in the background and executing work requests.

This role is part problem-solver, part systems thinker, and part quality-control machine. You’ll translate business needs into reliable automations, test them carefully, and monitor performance to make sure our Members (entrepreneurs, business owners, and other growing companies) get a seamless experience, from lead capture to post-sales follow-up.

You’ll collaborate closely with support, web, dev, and operations teams, knowing when to fix issues yourself, when to escalate, and how to keep members clearly informed every step of the way.

What You’ll Do

  • Complete automation work for both our members and internal teams, building workflows that improve results and streamline operations.

  • Build and maintain automation workflows for:

    • Lead nurturing and follow-up sequences

    • Pipeline and sales stage management

    • Calendar integrations and appointment scheduling

    • Email templates, campaigns, and sequences

  • Configure integrations and webhooks using tools like Zapier and inbound webhooks to connect:

    • LinkedIn automations

    • Payment tools (e.g., Stripe)

    • Forms, landing pages, and other third-party apps

  • Manage pipelines to ensure leads move cleanly through each stage, with correct tags, automations, and notifications firing at the right time.

  • Set up workflows, ensuring LinkedIn leads sync correctly into HQ with the right tags, fields, and follow-up automations.

  • Build post-sales call follow-up sequences that automatically send emails and SMS messages to keep prospects engaged and moving forward.

  • Configure custom domains for email sending to improve deliverability and sender reputation.

  • Organize contact and tag structures so data stays segmented, clean, and usable.

  • Thoroughly test every automation in a staging or sandbox-style setup before it goes live:

  • Monitor performance and reliability of live automations:

    • Track KPIs like open rates, click rates, and conversions

    • Identify broken, underperforming, or redundant workflows

    • Suggest and implement improvements

  • Communicate clearly with members

  • Escalate and hand off tasks to Dev/Web/IT when needed

  • Keep everything documented and organized using Trello, internal notes, and workflow overviews, so other teammates can understand and support your automations.

Daily Workflow

  • Review automation tickets and tasks for new requests and issues.

  • Design or update workflows based on member requirements and internal standards.

  • Set up or adjust Zapier automations and webhooks between internal HQ and external tools.

  • Run structured tests using test contacts and scenarios to validate new or updated automations.

  • Monitor key automations, dashboards, and reports to catch errors or bottlenecks early.

  • Clean and maintain data: tags, contact records, duplicate prevention, and email list hygiene.

  • Document changes, fixes, and new workflows so the team can reference them later.

Required Skills

  • Strong understanding of automation logic (triggers, conditions, actions, delays, webhooks, tags, etc.).

  • Excellent attention to detail

    • You notice broken logic, inconsistent tags, or incorrect field mappings.

  • Comfortable with technical tools such as automation platforms, CRMs, and integration tools.

  • Strong problem-solving skills

    • You enjoy debugging and working through complex issues step-by-step.

  • Clear written and spoken English, especially for documenting workflows and explaining changes to non-technical members.

  • Ability to prioritize multiple requests, manage deadlines, and stay calm when issues are urgent.

  • A mindset of “test first, launch later”

    • You don’t push untested automations into live environments.

  • Respectful, transparent communicator who keeps members and teammates in the loop.

  • Strong sense of ownership and accountability

    • You don’t just “set and forget”; you monitor, refine, and improve.

Preferred Experience

  • Experience with CRM or marketing automation platforms (GoHighLevel, Keap, HubSpot, etc.)

  • Zapier or similar integration platforms (webhooks, multi-step zaps, filters, and paths)

  • Freshdesk or other ticketing/support systems

  • Trello or similar task/project management tools

  • Email deliverability basics (custom domains, list cleaning, suppression practices)

  • Familiarity with Stripe or payment automation for subscriptions, invoices, etc.

  • Understanding of webhooks, APIs, and data mapping between platforms

  • Experience with data hygiene (de-duplication, validation, cleaning tools like Klean13)
